Job Title:    ELEMENTARY BUILDING SECRETARY (AESOP)

Office hours:  6:30 AM – 3:00 PM   Monday - Friday        

Job Description:

 

1)       SUMMARY OF FUNCTIONS: 
Responsible for performing a variety of duties mainly for the principal, counselor and building staff. The building secretary is generally the first person a student, parent or community member interacts with.  It is essential that this person represent the school in a professional and family friendly manner.  This position is Spanish speaking required.

 

2)       MAJOR DUTIES AND RESPONSIBILITIES: 

·         Prioritize answering telephones as soon as possible

·         Check AESOP daily to determine which teachers have requested substitutes.  Greet substitutes to                         insure they sign in and have the appropriate keys and information when they arrive for work

·         Fill open substitute positions when needed for the entire school district

·         Run daily attendance documents and insure that it is accurate in the system.  Check in and out all                         students coming to school late or leaving early

·         Insure payroll documentation is accurate and signed by staff and distribute payroll and expense checks

·         Manage outgoing and incoming mail for the building

·         Type correspondence as directed by principal and counselor

·         Coordinate building inventories

·         Maintain and update student files

·         Schedule student and teacher end of year check-out

·         Know emergency procedures and implement when necessary

·         Provide professional development of the Aesop system for the entire school district

·         Manage day to day entries and changes to the Aesop system for the entire school district

·         Ability to work as a liaison between buildings and the HR/Payroll department

·         Manage all time off system for payroll and the entire school district

·         Translation duties

·         Other duties as assigned

 

 

3)       ORGANIZATIONAL RELATIONSHIPS: 
Reports directly to the building Principal and the Director of Business and Operations

 

Skills and Knowledge

1)       Clerical – Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms and other office procedures.  Attention to detail extremely important.

2)       Customer and Personal Service – Knowledge of principles and processes for providing customer and personal services.  This includes a positive attitude and service orientation, looking for ways to help people that come into the building office. 

3)       Communication – The ability to talk to others to convey information effectively; communicating effectively in writing as appropriate for the needs of the audience; ability to understand written sentences and paragraphs in work related documents; and the ability to give full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate and not interrupting at inappropriate times.

4)       Establishing and maintaining Interpersonal Relationships – Developing constructive and cooperative working relationships with others, and maintaining them over time. 

5)       Flexibility - the ability to adapt to changing situations and be flexible.
