Title: Substitute Secretary

 

SECRETARY GROUP:  Performs general secretarial and receptionist duties using established and defined methods, practices and procedures.

 

GENERAL QUALIFICATIONS

  1. High school diploma or G.E.D. equivalent
  2. One (1) year of clerical experience or any combination of education and experience, which provides the applicant with the knowledge, skills, and abilities required to perform the job.
  3. Must have the ability to relate in a positive way with supervisory staff, students and parents.
  4. Must have the ability to communicate effectively both orally and in writing.
  5. Bilingual preferred.
  6. Always punctual.
  7. Such alternatives to the above qualifications as the Board may find acceptable.

JOB SPECIFIC QUALIFICATIONS

  1. Knowledge of office practices, procedures and equipment.
  2. Ability to operate standard office equipment such as computer, calculator, and photocopier.
  3. Ability to work with high degree of accuracy and attention to detail to meet deadlines.
  4. Ability to understand and execute verbal and written instructions, policies, and procedures.
  5. Ability to maintain confidentiality of sensitive information.
  6. Good attendance and punctuality is required.

JOB DUTIES AND RESPONSIBILITIES

  1. Provide back-up assistance to other secretaries as needed.
  2. Perform receptionist duties by answering the phone and providing assistance to staff and the public.
  3. Maintain and update databases and spreadsheets.
  4. Type correspondence, bulletins, agendas, reports, and newsletters.
  5. Prepare, maintain and file detailed records such as daily attendance reports, and other student reports using office machines such as listed above.
  6. Maintain sign in/out sheets for certificated substitutes.
  7. Work with online attendance program; notifies parents by telephone when students are absent from school. Accurately report/distribute truancy information.
  8. Generate and distribute standardized reports and letters.
  9. Sort and distribute mail and district information.
  10. Assist students as directed.
  11. Must be able to deal with children’s health problems, accidents, etc.
  12. Must understand the demonstrate a high level of confidentiality.
  13. Other duties as assigned.
