Job Description    

 

DESCRIPTION:  Responsible for performing a variety of duties mainly for the Director and Summer school staff.  The building secretary is generally the first person with which a student, parent or community member interacts.  It is essential that this person represent the school in a professional and family friendly manner. This position will be on campus.

 

QUALIFICATIONS:

  1. Clerical – Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms and other office procedures. Attention to detail is extremely important.
  2. Customer and Personal Service – Knowledge of principles and processes for providing customer and personal services. This includes a positive attitude and service orientation, looking for ways to help people that come into the building office.
  3. Communication – The ability to talk to others to convey information effectively; communicating effectively in writing as appropriate for the needs of the audience; ability to understand written sentences and paragraphs in work related documents; and the ability to give full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate and not interrupting at inappropriate times.
  4. Establishing and Maintaining Interpersonal Relationships – Developing constructive and cooperative working relationships with others, and maintaining them over time.
  5. Flexibility – The ability to adapt to changing situations and be flexible.

Summer School Director/Supervisor

 

Supervises:

No direct reports

 

RESPONSIBILITIES:

  1. Prioritize answering telephones as soon as possible
  2. Check daily to determine which teachers have requested substitutes. Greet substitutes to ensure they sign in and have the appropriate keys and information when they arrive for work
  3. Run daily attendance spreadsheets and ensure that it is accurate. Check in and out all students coming to school late or leaving early
  4. Maintain communication with staff and parents through
  5. Notices home if needed
  6. Communications from director
  7. Ensure payroll documentation is accurate and signed by staff and distributed and collect time logs
  8. Assist director with registration, enrollment and scheduling
  9. Manage director’s schedules as needed
  10. Manage outgoing and incoming mail for the building-if it is related to summer school
  11. Type correspondence as necessary and if directed
  12. Manage summer supply orders
  13. Register new and returning students ensuring that all paperwork is current and accurate
  14. Know emergency procedures and implement when necessary
  15. Input schedules and assist director for registration
  16. Perform other appropriate duties as requested by the supervisor

 

WORKING CONDITIONS:

Working area will be in a regular office setting.  Provide assistance in the building to support the mission of the Warden School District.  Provide assistance to the Summer School Director/Supervisor, staff, parents, and community members. Work may require working at times or days other than the regularly scheduled workday.

The employee must lift and/or move 25 to 50 pounds, and may assist, move, or retrain students with greater weight when required to intervene in student safety issues.

 

While performing the duties of this job, the employee is frequently required to sit, lift, carry, move about, hear and speak. Employee may be required to perform extensive work at a computer display terminal.

 

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.  The noise level in the work environment is usually moderate, or consistent with the subject being taught, but can be abnormally loud on occasion.

 

While performing the duties of this job, the employee may occasionally work in outside weather conditions and be exposed to wet and/or humid conditions, temperature fluctuations, fumes or airborne particles, toxic or caustic chemicals commonly used in instruction and/or cleaning.  It may be expected that the individual could be exposed to blood or other potentially infectious materials during the course of their duties. The employee may be exposed to infectious disease as carried by students.

 

The employee may be required to travel in school owned or leased vehicles while supervising and assisting students.
